1.Who we are

1.2This policy explains what personal data we collect when you use myhomebird.com, the Home Bird dashboard, shared sale packs and our emails, why we use it, who we share it with and your rights under UK data protection law (the UK GDPR and the Data Protection Act 2018).
2.What we collect
2.1Account details: your name, email address, password (stored securely hashed by our authentication provider) or Google sign-in identifier.
2.2Home records you add: address and postcode, property details (tenure, bedrooms, year built, EPC and council tax band), bills and costs, insurance policies, service and works records, documents, invoices, photos, meter readings, reminders and sale pack answers.
2.3Membership and billing: plan, status and renewal dates. Card and payment details are collected and held by Paddle, not by us.
2.4Sharing and handover: email addresses you enter to invite a new owner or send a sale pack.
2.5Technical data: IP address, browser and device type, pages visited and error logs, used to keep the Service secure and working.
3.Why we use it and our lawful basis
3.1To provide the Service you signed up for — storing your records, calculating totals, producing sale packs, sending reminders and processing handovers (contract).
3.2To manage your trial and membership and send service emails such as sign-in links, receipts and reminders (contract).
3.3To keep the Service secure, prevent fraud and abuse, and fix problems (legitimate interests).
3.4To meet legal, tax and accounting obligations (legal obligation).
3.5We will only send marketing emails if you have agreed, and you can unsubscribe at any time (consent). We do not sell your personal data and we do not use it for advertising profiles.
5.International transfers
5.1Some of our providers may process data outside the UK. Where they do, we rely on UK adequacy regulations or the UK International Data Transfer Agreement / Addendum to protect it.
6.How long we keep it
6.1We keep your account and home records for as long as your account is open, including after a trial or membership ends, so your history is never lost unexpectedly.
6.2If you ask us to delete your account we delete your records within 30 days; backups are overwritten within a further 35 days. After a handover, the home record belongs to the new owner.
6.3Billing records are kept for six years to meet tax law. Security logs are kept for up to 90 days.
7.Keeping it safe
7.1Data is encrypted in transit and at rest. Database rules ensure only the home's owner can read or change its records, Personal bills are visible only to you, and files are kept in private storage opened through short-lived links. No system is perfectly secure, but we will tell you and the regulator promptly if a breach puts you at risk.
9.Your rights
9.1You can ask to access, correct, delete or receive a copy of your personal data, to restrict or object to how we use it, and to withdraw consent at any time. You can also export your outgoings and service record yourself from the dashboard.
9.2Email hello@myhomebird.com. We will reply within one month. If you are unhappy, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
10.Children
10.1Home Bird is for adults aged 18 and over. We do not knowingly collect data from children.
11.Changes to this policy
11.1We will update this policy when our practices change and tell you by email or in the dashboard about significant changes. The date at the top shows the latest version.
